When does the bot join?
Truly's AI bot will attempt to join the meeting within 60 seconds of the meeting start time (usually within 10 seconds).
What happens when meetings are canceled/changed?
The Truly bot will pick up all changes to meetings. All of the following use cases will be handled in the following ways

Does the bot support recurring meetings?
Yes, recurring meetings are supported.
Can I invite the bot to join 'On-Demand'?
Currently, the only way to launch a Meeting Recorder bot is through your calendar, which you can do by adding a meeting in the future (we recommend 2-3 minutes minimum to be safe). We have plans to add the ability to do this in an easier way in future.
Do I have to 'admit' the bot to each meeting?
The bot joins as though it is any other meeting participant. If you have a setting that requires you to admit participants one by one, it will have to be admitted. If you allow anyone to join at any time, it will join immediately. If a password is included in the invite by your meeting provider, the bot will enter that password to join automatically.
What happens if nobody shows up?
The bot will wait for 10 mins for at least one internal/external participant to show up. If nobody does, the bot will leave the meeting.
What happens if I have overlapping meetings?
Truly's back-end supports multiple concurrent meetings for each user. If a user has overlapping external meetings, one bot will join each meeting.
From a licensing perspective, we do not allow concurrent meetings to be attended so if there are a large number of meetings with unusually high overlap, you may hear from our team about updating your agreement.
If multiple Truly users join, will there be multiple bots?
Only a single bot is created for a given meeting, regardless of how many Truly users attend. Each Truly user will still have a Task created on their behalf so that their talktime/activity can be tracked at the user level.
Can we prevent the bot from joining a particular scheduled meeting?
There currently is no way to ask a bot 'not to dial in' to an external meeting. You can either set up your meeting to 'require the host to admin participants' or you can remove the bot after the meeting starts.
Can we remove a bot from a meeting?
Yes. If you do want to remove the notetaker, you will need to use the native functionality of whatever platform you are using.
The only reason we hear for removing the bot is a concern regarding call recording. If you face this objection frequently, we strongly recommend going 'Recordingless', and using our bot solely for transcription and notetaking purposes to ensure we can still capture/log data and trigger your automations (otherwise, you have to do this all manually)
